Meeting room vs conference room: what is the difference?

The terms are used loosely. Here is what each one usually means in practice, and which one your meeting actually needs.

How the terms are generally used

A meeting room is the everyday room: small to medium, suited to interviews, team sessions and one-to-one client conversations. A conference room or boardroom is larger and more formal, built around a single long table with presentation equipment, for board meetings, pitches and group presentations.

Nothing is standardised, so the label tells you less than the capacity and the equipment list.

Choose by the shape of the conversation

If people need to talk across the table and work something out, a smaller room with everyone in eye contact is better. If one person is presenting to a group, you want a room oriented towards a screen with clear sightlines.

An oversized room for a four-person conversation makes the meeting feel thinner than it is.

Ask for specifics, not the label

When booking, state the number of attendees, whether anyone joins remotely, and whether you are presenting. Those three facts pick the room far more reliably than the word on the door.
